Account & Data Deletion

You can permanently delete your Ontraq account and the personal data we hold about you at any time. There are two ways to do this — pick whichever is easiest for you.

Option 1 — Delete from inside the app (recommended)

If you can still sign in, this is the fastest way:

  1. Open the Ontraq app or sign in at www.ontraq.com.au/sign-in
  2. Go to Settings
  3. Scroll to Danger zone at the bottom
  4. Tap Delete account and confirm

If you are a cleaner, or a contractor whose company has never been used, your account and personal data are permanently removed within a few seconds and you are signed out automatically.

If you run a company that has sites, jobs, team members or billing records, the app will tell you so and stop, rather than delete it. An operating business holds other people's records — your team's pay history and your clients' tax invoices — and those are not ours to remove on your way out. Email us at support@ontraq.info and we will transfer the company to whoever is taking it over, or close it down with you, and then your account deletes normally.

Option 2 — Email us

If you cannot sign in (lost password, lost device, account locked, etc.), email us from the address on file:

support@ontraq.info

Include the subject line "Account deletion request" and the email address used to register. We will verify your identity, delete your account, and confirm by reply within 7 days.

What gets deleted

  • Your profile (name, email, phone, role)
  • Job assignments and clock-in/clock-out records linked to your account
  • Photos you uploaded
  • Notification preferences and push notification tokens
  • If you are a contractor whose company has never been used (no sites, jobs, team members or billing records), the company is removed with your account
  • If your company IS in use, it is not touched. We ask you to transfer or close it first — see above. Records we are legally required to retain (for example tax invoices, kept 5 years under Australian tax law) are kept either way
  • If you have an active paid subscription, cancel it first (Settings → Billing). We'll ask you to do this before the account can be deleted, so you're never charged again afterwards.

What we have to keep (and for how long)

Some information must be retained to comply with Australian law and for our legitimate business interests. We hold the following minimum records, with all direct personal identifiers removed where possible:

  • Tax invoices and payment records: retained for 5 years as required by the Australian Taxation Office.
  • Authentication and security logs: retained for 90 days for fraud detection and account security.
  • Aggregated, non-identifiable analytics: retained indefinitely (cannot be tied back to you).

These retained records are encrypted at rest, access-controlled, and never used to recreate or identify your former account.
